We are a local company established in 2009 with offices located in Delta and Surrey with a specialization in the construction field. We are currently seeking an Administrative Assistant for a full-time permanent position for immediate hiring.
Job Summary: Administrative Assistant Position
- Working Hours: 35 hours per week between 9 am and 5 pm from Monday -Friday with a 1-hour unpaid lunch break
- Location: Unit 320 - 15300 Croydon Dr, Surrey, BC, V3Z 0Z5
- Type of Employment: Full-time–Permanent
- Estimated Start Date: As soon as possible
Job Duties
The responsibilities of the role include:
- Organizing construction document filing systems and updating project information.
- Recording project data and presenting reports to the project manager.
- Attending on-site inspections with city inspectors, facilitating access and documentation, and addressing concerns raised at the inspections.
- Determine, establish, organize, and coordinate all office procedures and operations.
- Schedule appointments and coordinate meetings.
- Maintain office files, databases, and records.
- Review Subcontractor and supplier invoices and ensure they are correct.
- Provide administrative support to the team, including managing calendars, scheduling meetings, and making travel arrangements and reservations on behalf of the employer.
- Answer and direct phone calls, take messages and respond to inquiries in a professional and timely manner.
- Greet visitors and ensure they are directed to the appropriate person.
- Maintain Materials supplies inventory by checking stock levels and placing orders as needed.
- Preparing and proofreading documents, reports, and presentations.
- Compile data, statistics, and other information to support the employer.
- Organize and maintain physical and electronic filing systems, ensuring accuracy and confidentiality.
- Perform data entry tasks and update databases as necessary.
- Handle incoming and outgoing mail, packages, and deliveries.
- Record and prepare minutes of meetings.
Requirements and Qualifications
- One year experience as an administrative assistant or in a similar role.
- Completion of Secondary (high) school graduation certificate.
- Excellent organizational skills with the ability to prioritize tasks and meet deadlines.
- Strong attention to detail and accuracy in all work performed.
- Proficient in computer applications such as Microsoft Office Word, Excel, PowerPoint, and
- Ability to work independently with minimal supervision.
Wages and Benefits
Salary: CAD 25.50 hourly
